Why the “perfect tenant” is suspicious:
Red flag behaviors:
No maintenance requests for 12+ months (Are they living there? Are they hiding damage? Are they subletting?)
Never responds to inspection requests (What are they hiding?)
Pays rent on time but avoids all contact (Potential illegal activity, unauthorized occupants, hoarding)
Tim’s inspection framework (minimum standard):
Inspection #1: Mid-lease (6 months in)
Purpose: Catch problems early before they compound
What to check: HVAC filters, plumbing leaks, appliance function, yard maintenance, unauthorized pets/occupants
Action items: Issue 7-day notice to cure for any lease violations; schedule repairs for landlord-responsibility items
Inspection #2: Pre-renewal (60-90 days before lease end)
Purpose: Decide whether to renew AND on what terms
What to check: Damages beyond normal wear and tear, deferred maintenance, overall condition
Action items:
If damages exist: Condition renewal on tenant paying for repairs OR require additional security deposit for next term
If condition is good: Proceed with standard renewal
If condition is terrible: Decide not to renew; send notice of non-renewal
Why this cadence works:
Prevents $10K costs
If you never inspect. They move out. You discover damages on the carpet:
( Total damage: $12,000 - Security deposit: $1,500 = Your loss: $10,500)
With 6-month inspection: You discover total damages, then issue a 7-day notice for the tenant to get the carpet professionally cleaned.
At month 12, you condition renewal on the tenant paying $500 toward carpet replacement OR adding $500 to the security deposit. Damage is contained. Total cost: $500 (vs. $10,500).
The Negligent Property Manager Lawsuit
“I’ve had cases where the property manager did not inspect for YEARS. And lo and behold, they go to the property, and it’s a nightmare. Lawsuits get filed. Property owners sue property managers for negligent management.”
Example:
PM doesn’t inspect for 4 years
Tenant damages your property
Owner sues PM for negligence
PM’s insurance covers $10K; PM pays $20K out of pocket
Outcome: PM goes out of business, owner gets $30K but loses 6 months to lawsuit
Prevention: Mandatory 6-month inspections written into PM agreement. If PM fails to inspect, you can terminate the contract.
